Equity, Diversity, and Inclusion Committee

Our Mission
The purpose of the equity, diversity, and inclusiveness (EDI) committee is to develop and implement policies and procedures to ensure that the Entertainment Culture and Promotion Society and all its events and activities are mindful and accepting of the diverse backgrounds of all of our attendees, staff, volunteers, vendors, guests, partners, and stakeholders. The EDI committee will also serve to hold ECPS accountable to ensuring its organization and activities to ECPS's mission of cultural understanding and allyship, especially towards those from traditionally marginalized groups. Board committees that are aware of the scope of EDI issues and are active in applying their knowledge and expertise to their boards set the stage for a diverse and effective board.
Authority and Responsibilities
Policies
This committee will establish, review and update the board about policies regarding equity, diversity, and inclusiveness measures. It will also oversee the adoption of appropriate policies and procedures in regard to such.
Oversight of Implementation
This committee is responsible for developing diversity, equity, and inclusivity policies for the corporation and its subsidiaries. Members of the committee will make recommendations to the board regarding EDI policies, practices, and procedures.
Evaluate Performance
This committee will facilitate board self-evaluations annually and individual director evaluations at least twice a year.
Educate the Board
This committee will educate the board about issues affecting the corporation or its subsidiaries regarding EDI policies. It will execute other such duties as delegated by the board. The committee will make recommendations to individual members and to the full board for workshops and other educational opportunities to improve the knowledge and understanding of all of the corporation's constituents.
Organization
Review of Charter
This charter shall be reviewed and re-evaluated by the Board of Directors at least annually, and any proposed changes shall be submitted to the board for approval.
Membership/Structure/Quorum
The EDI committee shall consist of at least three members. The committee chair shall be appointed by the ECPS board chairperson. At least one member of the committee must be a board member.
Staff Designee
The ECPS Board of Directors may appoint a staff member from an ECPS event to the committee as necessary to improve the functioning of the committee.
Meetings
The EDI committee will meet at least quarterly. A quorum of any meeting of the nominating and governance committee will consist of a majority of its voting members. Committee members may participate by teleconference.
Agenda, Minutes, and Reports
The chair will be responsible for establishing the agendas for meetings. An agenda, together with additional materials, will be sent to committee members at least 1 day in advance of the meeting. Minutes for all meetings shall be drafted by the committee chair and approved by committee members at the following meeting.
