Charity and Sponsorship Committee

The Charity & Sponsorship Committee, a standing committee reporting to the Board of Directors, is established pursuant to the Committee Structure & Policies (Hereafter known as CSP). The original board member who had filed the motion in efforts to create this Committee shall serve as chairperson to the Committee. In the event that the chairman steps down or is removed from this role, the board may nominate a new chairman. As per the CSP adopted by the board, the chairperson may be a current or retired board member as long as they are in good standing with ECPS.

The Committee may also include other non-Board persons whose interests, experience, and/or qualifications may assist the Committee and the Board in the performance of their oversight responsibilities. In pursuant to the CSP, this Committee shall consist of no fewer than three (3) with no maximum restriction on the number of Committee members to be acquired by the Committee Chairman. The Committee will require an appointed member of the Event Staff as a Charity Coordinator to assist with official communications with event leadership.

All charities will be operated at an ECPS Board level. This Committee will communicate with current ECPS Event management to ensure no overlap in sponsorship programs or opportunities. Sponsorships may be handled at an ECPS Board and/or Event level.

The Committee shall meet as necessary and appropriate at the call of the Chairman of the Committee and shall maintain minutes of all meetings, which will be distributed to the Board, preferably in advance of the next regularly scheduled Board meeting. Standard Operating Procedures (SOP) as well as any other documents that aid in the planning process will be submitted to the board for archive purposes.

This Committee may form Subcommittees in efforts to focus on specific charity events, activities, or sponsorship programs as deemed necessary by the Chairman. The Chairman of the Chairy & Sponsorship Committee will also serve as the oversight authority of any subcommittees. Members of any Subcommittee will also be considered members of the Charity & Sponsorship Committee.

The purpose of this Committee is to provide strategic planning support to ensure focus and direction of charities, sponsorships, and other opportunities of giving back to members or organizations of the Milwaukee community in service of the mission statement and direction of the board. These opportunities may, but are not restricted to, taking place during the date(s), time(s), or location(s) at one of ECPS event(s). ECPS events will work in tandem with the committee and board in facilitating schedule, venue, and potentially additional services that may result in cost-sharing or savings.

Charter

Acting with the Committee Chairman, the Charity & Sponsorship Committee is charged to: 

  • Develop and recommend to the Board of Directors policies and procedures governing the charitable opportunities to be offered by ECPS to subscribing members and the public. 

  • Provide policy guidance and consultation in setting priorities for said opportunities. 

  • Establish guidelines to assist in setting the fees to be charged for said opportunities. 

  • Establish guidelines regarding fees for outside presenters and providers of services. 

  • Establish guidelines within which the Committee Chairman is authorized to enter collaborative arrangements with other organizations and providers of services. 

  • Ensure that ECPS: 

    • Has an evaluation process that measures the extent to which ECPS is achieving its mission; b. Regularly uses the evaluation data to inform and continuously improve ECPS opportunities; c. Uses evaluation data to educate the community (including funders) regarding the work and effectiveness of ECPS, its events, and its opportunities.
